Making Reservations, Deposits, Changes and Cancellations

Booking Process Overview

Please make sure you read the cancellation policy for your booking, as those terms are binding and will apply in case you have to cancel later on.

Once you have made a reservation with us, we will confirm the availability of space with that tour’s hosts for all itineraries including day tours and tour add-ons. The information you provide via our online reservations system helps us process your reservation request quickly and get the final confirmation of services back to you as soon as possible.

The more detailed the information you provide, the better. If for any reason, we are unable to confirm your reservation as requested, we may suggest an alternative hotel/excursion/add-on for your approval. If we cannot confirm your reservation as requested and you do not accept the alternatives, your credit card will be refunded.

We will make every effort to fulfill last-minute requests. Once confirmed, all last-minute reservations (within 30 days of travel) are final and non-refundable.

When Deposits and Payments Are Due

All reservations require a minimum deposit of 50% of your total tour price up to 60 days in advance. Reservations requested under 60 days will require full payment on confirmation of services from us. A reminder for “final payment due” will be e-mailed to you automatically 7 to 10 days prior to the due date.

Final payment is due 60 days prior to travel, however, there are certain programs where final payment might be due earlier (for example cruises; cruise and land tour programs; lodge stays, or bear viewing tours). If the final payment is due earlier than 60 days, it will be listed under the online rate tables and on your invoice.

We will send you a confirmation invoice via e-mail when your reservation is confirmed, as well as after your final payment.

Accepted Forms of Payment

We only accept credit card payments as a form of payment. We accept Visa, MasterCard, Discover, and American Express. Providing Credit Card information within our online reservations system is safe and secure. The reservation check-out is processed through SSL (secure socket layer) which prevents anyone else from accessing this information.

Travel Documents

You will receive your Alaska travel documents approx. 4 and 2 weeks prior to your first service date, with few exceptions. The travel documents will be emailed to you in PDF format. We recommend that you print your travel documents and to bring them with you on your Alaska trip.

Tour Changes: Fees Charged

Once confirmed and invoiced, any changes to existing Alaska reservations are subject to an administrative fee, plus any applicable cancellation fees charged by service providers.  This applies to changes in dates, names, or services. All requests for changes must be received in writing.

The following administrative fees will be charged every time a change is made.  Changes within 30 days will be processed on an individual basis considering availability and penalties.

  • One Day Tours (per-occurrence): $10 per person/per tour
  • Tour packages of 3 nights or less: $50 per person
  • Tour packages of 4-7 nights: $75 per person
  • Tour packages of 8-14 nights: $100 per person
  • Tour packages of more than 14 nights: $150 per person

Date changes: Reservations can only be changed within the same travel season and only as long as the new desired travel date is available. Reservations cannot be moved to the next travel season.

Tour Cancellation Policies

All cancellation requests for booked tours must be received in writing. If you are concerned about canceling or interrupting your vacation due to events out of your control, please ask us about your Travel Insurance options.

The following is our general tour cancellation fee policy, which is based on a percentage of the total invoice. The effective date is the date on which the written cancellation notice is received in our office by fax or e-mail.

  • Any time after our written confirmation: 10% of invoice total
  • 60 – 45 days prior to departure: 30% of invoice total
  • 44 – 30 days prior to departure: 60% of invoice total
  • Within 30 days: 100% of the invoice total (no refund)

Exception Policy: Excluded from this cancellation fee policy are:

  • UnCruise Adventure cruises
  • Any wildlife viewing programs such as bear viewing trips
  • Stays in remote / wilderness lodges
  • Tours including Borealis Basecamp (among some others). NOTE: If cancellation terms are different from our general tour cancellation fee policy, then they are listed on the specific tour page, under the “dates and rates” tab.
  • Excluded from this cancellation fee policy are also any reservations that were changed within 60 days of the initial arrival date.

Please note that our cancellation fees will apply in any event and no matter what the reason for a potential cancellation may be. That includes but is not limited to flight cancellations, travel restrictions, illness or health concerns. We highly recommend buying travel insurance to protect your travel investment. 

Refunds for No Shows or Unused Services

Any pre-booked service, not checked-in for is considered a no-show and no refund will be issued. Any pre-booked service that is not used is not refundable.

Health and Safety during your Alaska travels

Alaska Tours makes travel arrangements and provides reservation services for you at your request. We do not own or operate any services listed on our website and do not control a tour or accommodation supplier’s day-to-day operations or employees. It is impossible for us to monitor every Health and Safety condition across our different tours, who is or is not vaccinated, or whether individual travelers or supplier staff members will follow recommended protections, nor do we control every possible health outcome for travelers in a pandemic. If in any doubt, please review your travel plans with a health professional prior to booking. Once travel arrangements are made, our terms and conditions apply.

Alaska Traveler Responsibilities

All Alaska Tours, LLC (dba Alaska Tours) and its affiliated entities and its employees, shareholders, officers, directors, successors, agents, and assigns, neither own nor operate any person or entity which is to, or does, provide goods or services for these trips or tours.  Because All Alaska Tours, LLC (dba Alaska Tours) assumes no responsibility for and cannot be held liable for any personal injury, death, property damage, or other loss, accident, delay, inconvenience, or irregularity which may be occasioned by reason of (1) any wrongful, negligent, willful, or unauthorized acts or omissions on the part of any of the tour suppliers, or other employees agents, (2) any defect in or failure of any vehicle, equipment, instrument owned, operated or otherwise by any of these suppliers, or (3) any wrongful, willful, or negligent act or omissions on any part of any other party not under the supervision or control of the Operator.

Act of GOD/Force Majeure

All Alaska Tours, LLC dba Alaska Tours and/or its suppliers cannot assume liability for any loss, damage, or injury of any nature resulting from an Act of God or any other force majeure (arrangements in any way because of unusual or unforeseeable circumstances beyond our control). These can include, for example, severe weather, fire, flood, mudslides, earthquakes, war, riot, terrorist activity, and its consequences, natural or nuclear disaster, labor disputes, labor strikes, epidemics, World Health Organization’s advisories and/or alerts, disease, pandemic, virus, illness, Center for Disease Control’s advisories and/or alerts, U.S. State Department’s advisories and/or alerts, any order of any local, provincial or federal government authority, interruption of power Services, or any other causes beyond the control of All Alaska Tours, LLC or Alaska Tours.  We highly recommend purchasing travel insurance protection.

Buying Travel Insurance

Once you’ve made your trip plans and confirmed your booking with Alaska Tours, please consider purchasing travel insurance to protect yourself against trip interruption, cancellation, luggage issues, medical emergencies, and the like. We recommend Berkely Group plans for U.S. and Canadian residents and Patriot T.R.I.P. plans for visitors living in other locales.

Vacation Packages – Independent or Group Tours?

Please note that most of our vacation packages are independent tours. That means that you will travel by yourself and without a tour guide. We also offer a few fully guided tour options where you will travel with a group from the beginning to the end – those are specifically marked as guided bus tours. Tour Prices Listed on our website

Prices listed are per person prices. Please note, all prices and information displayed on this website AlaskaTours.com are subject to change without prior notice. Whenever possible changes to programs, errors, or rates after publication are posted on our website.  Once reservations are confirmed prices are guaranteed.
